What's the difference between an inquiry, a quote and an order?

Inquiry — the first ask

An inquiry is a customer's initial request: the occasion, a rough idea, maybe a reference photo and a budget. It carries no price and no commitment from either side. Inquiries usually arrive through your enquiry form on your website or storefront, and land in one place for you to reply to.

Quote — your price offer

A quote is a formal price you send the customer. You build it just like an order — products, event date, delivery — but it's marked as a quote and follows its own lifecycle: Draft → Sent → Accepted / Declined / Expired → Converted.

If you switch on online quote responses, customers can accept or decline from the quote link and you'll see the status change; otherwise you mark it yourself. Order — confirmed, bakeable work

An order is a confirmed booking. Only orders are bakeable — they're what appears on your production and bake lists, your delivery runs, and your revenue and tax reports. An order moves through its own statuses: New → In Progress → Ready → Out for Delivery → Complete (with On Hold, Cancelled and Refunded as needed).

How they flow into each other

  • Inquiry → Quote: turn a request into a priced offer.
  • Inquiry → Order: skip the quote when the job's already agreed.
  • Quote → Order: convert an accepted quote in one click.

Good to know

  • A quote isn't counted as work. Quotes are kept out of your production lists, delivery runs and revenue/tax totals until they become an order — so your numbers only reflect real, confirmed jobs.
  • Quotes have their own statuses. They use Draft/Sent/Accepted/Declined/Expired/Converted, which are separate from order statuses.
  • You can start anywhere. Not every job needs an inquiry or a quote — create an order directly when the booking's already settled.
